A content calendar is the difference between consistent posting and chaotic scrambling. Here's how to build one that works.

Plan content monthly, create weekly, and schedule daily. This rhythm keeps you organized without feeling overwhelming.

Start with content pillars. Every business should have 3-5 main topics they post about. For a restaurant: menu items, behind-the-scenes, customer stories, local events, and food tips.

Use the 80/20 rule. 80% educational or entertaining content, 20% promotional. People follow businesses for value, not constant sales pitches.

Batch create content. Dedicate one day per week to creating all your content for the next week. This is way more efficient than creating content daily.

Mix content types. Don't just post photos. Include videos, carousels, Stories, Reels, and user-generated content. Variety keeps your feed interesting.

Plan around key dates. Holidays, local events, industry-specific dates, and your client's business milestones. These are easy content opportunities.

Leave room for spontaneity. Don't schedule 100% of your content. Save slots for trending topics, timely responses, or last-minute opportunities.

Use a simple spreadsheet or tool like Later, Planoly, or Buffer. You need to see the full month at a glance and easily move posts around.

Include all the details. Date, time, platform, content type, caption, hashtags, and any links or tags. This makes scheduling quick and prevents mistakes.

Review and adjust monthly. Look at what performed best last month and create more of that content. Cut content types that consistently underperform.

Collaborate with clients. Share the content calendar with clients for approval at the start of each month. This prevents last-minute change requests.

Repurpose content across platforms. A TikTok video becomes an Instagram Reel, a Facebook post, and a YouTube Short. Create once, post everywhere.
